Tour Sizes | Our Contract | Prices | Responsibility | Cancellation by Orlova Tour SizesOrlova South Limited ("Orlova") offer exclusive private personalised tours for small groups of up to twelve guests. The tours described on this website or in our brochure are operated by Orlova, which has its head office in Christchurch, New Zealand. Our ContractIt is essential that you carefully read and that you understand these booking conditions as they contain important information. They constitute the contract between Orlova and you for the service provided by Orlova and sets out the basics of your legal relationship with Orlova South Ltd. By booking with us and paying the non-refundable deposit of $500 per guest, per tour you acknowledge that you have read and understood and that you agree to be bound by these booking conditions. We will inform you in writing (to you or your travel agent) if your booking is accepted. The contract comes into effect on the date shown on this letter or our email confirmation. PricesPrices are based on costs applicable at time of printing. Orlova reserves the right to adjust prices however your tour price is guaranteed once Orlova has received full payment. All prices quoted include New Zealand's Goods and Services Tax (GST) of 12.5%. We will do everything in our control not to adjust prices; we will generally only amend prices in the event of marked increases in fuel costs and other operating costs on which our prices are based which are beyond Orlova's control. The tour prices and inclusions are listed in the breakdown for each tour. The tour price includes airport transfers, all accommodation, cooked or continental breakfasts, most lunches, dinners, most morning or afternoon teas, commentaries and film shows. (see Tour briefs can be downloaded from the website which include fare prices and tour includions) (On the days that are 'free days' you organise your own lunch). Airfares, passport and visa fees, travel insurance, excess baggage charges, airport taxes, postage, telephone calls, laundry, optional sightseeing, occasional morning and afternoon teas, drinks, additional hotel accommodation, medical expenses and any items of a personal nature are not included in your tour price. ResponsibilityOrlova reserves the right to alter or modify itineraries or accommodation venues in any way necessary in the interests of our guests due to circumstances beyond Orlova's control. The tours offered by Orlova are undertaken by the guests at their own risk and neither Orlova nor its agents accept any liability whatsoever for any loss or damage, however caused (including negligence), to any property of its guests or for any accident or injury sustained by a guest or property while undertaking any of its tours. Cancellation by Orlova South LtdOrlova reserves the right to cancel or withdraw at any time up to 60 days prior to the start of the tour, the tour or any part of a tour made by or for you, in which event no liability whatsoever in respect of such cancellations shall apply. Orlova will offer you alternative arrangements. If the price of your alternative booking is of lower value than the original booking we will refund the difference to you. If you do not accept alternative arrangements we will refund all payments you have made to Orlova, less any unrecoverable costs incurred by Orlova South Ltd. We will not be liable under any circumstances whatsoever for any claims made by you for any additional costs incurred by you. Orlova will not be liable for any delays in, changes to, or cancellations of tours due to Force Majeure. (Force Majeure means circumstances beyond the reasonable control of Orlova and includes but is not limited to war or threats of war, riots, civil strife, terrorist activity, industrial dispute, disease, industrial or nuclear disaster, adverse weather conditions, fire and mechanical breakdown. If Orlova does cancel a trip as a result of Force Majeure, or New Zealand Government travel advice, Orlova will offer you alternative arrangements and if the price of your alternative bookings is of a lower value than the original booking we will refund the difference to you. If you do not accept the alternative arrangements we will refund all payments you have made to Orlova less any unrecoverable costs. Orlova will not be liable under any circumstances whatsoever for any claims made by you for any additional costs incurred by you. Cancellation by you and Refund policyNotification of cancellation must be made to Orlova South Ltd in writing. The date when Orlova South Ltd receives written confirmation of cancellation will determine the charges applicable:
Depending on your reason for cancellation, these charges may be recoverable under your own travel insurance policy. If you do not pay the balance of your total tour cost within 60 days of start of your tour your booking may be terminated and, if so, you will lose your deposit. Additional Orlova South Ltd cancellation penalties may apply. No refunds will be made if you leave a tour for any reason after the tour has begun. Changes to your holidayDue to the nature of these tours, weather, snow, ice or New Zealand Government regulations may require changes to be made to your itinerary and/or the cancellation of some excursions. Every attempt will be made to adhere to the tour described within the limits of safety and time. In the event of changes, participants have no right to any refund or other compensation. Tour prices are based on group participation. Should you choose not to take part in any activity or make use of any service provided no refund will be made. Orlova reserves the right to substitute the advertised coach at any time with any other coach of appropriate standards. Authority of the company representativeDuring your tour you acknowledge that you are under the control of the company representative who has the authority to determine your suitability to participate and may order you to leave the coach or continue with your tour which may be exercised on one or more occasions. At all times the decision of the Orlova's company representative will be final on all matters likely to affect the safety and well-being of the tour guests. If you are ordered to leave the tour, you specifically acknowledge that you will have no right of refund. ComplaintsIf you have any complaints about your tour, you must make it known at the earliest opportunity to the tour operator/driver or company representative, who will normally be able to take appropriate action. If at the end of your tour you feel your complaint has not been properly dealt with you must notify Orlova South Ltd in writing within 30 days of the end of your tour. The decision of Orlova South Ltd shall be final. Travel insuranceTravel insurance is compulsory for all Orlova travellers. Your travel insurance must cover accidents, medical expenses, including any related to pre-existing medical conditions, emergency repatriation, including helicopter rescues and air ambulance, plus personal liability. Orlova also recommends your policy should cover unforseen cancellations, curtailment and loss of luggage and personal effects. You are required to carry proof of insurance with you and produce it if reasonably requested by Orlova's representatives, or suppliers. You expressly confirm that you are holding such travel insurance or will be holding prior to the commencement of your tour. Your Health and FitnessIt is your responsibility to advise Orlova South Ltd of any pre-existing medical conditions that might reasonably be expected to increase the risk of you requiring medical attention, or that might affect the normal conduct of a tour and the enjoyment of other tour members. You are required to provide an assessment of a medical condition from a qualified medical practitioner. Orlova reserves the right, at its discretion, to cancel your booking and refund the money paid by you, less any unrecoverable costs, if it is deemed that you are not suitable for the tour booked. Smoking PolicyWe have a smoke free policy and the coach will be stopping frequently for sightseeing, photographic opportunities and comfort stops, which will allow guests wishing to indulge in a cigarette an opportunity to do so and thus maintain our smokefree policy on board our coach. New Zealand law restricts smoking in public areas such as restaurants and accommodation facilities maintain a full smokefree policy. Designate smoking areas are available. PublicityYou agree that Orlova South Ltd may use images of you taken during the tour without recourse to you and without compensation to you, for publicity and promotional purposes only. Seat Rotation planTo ensure all travellers with Orlova enjoy the scenery and different vantage points, and for you to get to know your travelling companions, seat rotation will be requested from time to time by the tour guides or driver. Tour starting and finishing timesThe start dates are within New Zealand. The tour begins and ends in Christchurch. Note that you will need to account for time zone and date changes when making your travel arrangements. For example, direct flights that leave the US on Friday evening (US Pacific time) arrive in New Zealand on Sunday morning (NZ time). A day is "lost" crossing the International Date Line. You may wish to arrive in New Zealand a day or two earlier in order to start the tour refreshed. Tours generally finish on the last day; note; Dinner and final get together is included along with breakfast the next day. Travellers need to be mindful of this information when planning flight connections. Orlova South Ltd does not be responsible for missed connections. Voltage240v AC is used throughout New Zealand; voltage and plug adaptors may be required. PrivacyCertain information will be collected by us to supply the services to you. Your personal information is collected only to enable us to provide you with the service you wish us to provide. The information may be disclosed or collected on our behalf by our service providers to enable their service to be provided, but will not be used by them for any other purpose. The service may not be provided without this information. The information may also be used to inform you of additional products and services, which may be of interest to you.
All marketing material sent to you will include an option for you to request removal from mailing or contact lists for any further marketing. All information, which we collect, will be kept confidential. ValidityRefer to fare prices and inclusions for individual tour validity.
